What are you going to do?

As a Management Assistant for the IM Board, you will support two members of the PGGM IM management team. Together with your fellow management assistants, you ensure that the PGGM IM Board is fully supported. For you, this means managing complex calendars, actively handling the mailbox, drafting and coordinating meeting schedules for various committees and internal communication events. You will keep track of action points and deadlines, and remain highly alert in this regard. When urgent matters arise, you act immediately by sharing information and freeing up schedules. Where needed, you also assist in preparing presentations or short memos. You will work closely with the management assistants of the other board members. Thanks to your efforts, the PGGM IM Board can carry out its work effectively.

Key responsibilities include:

  • Providing regular secretarial support (including complex calendar management, mailbox management, preparing meetings, managing the board archive, setting priorities, and monitoring deadlines);
  • Organizing and booking (international) travel and meetings for the Board;
  • Organizing and coordinating events and gatherings;
  • Preparing presentations and memos.

You are accurate, curious, smart, and assertive. Since an important part of the job involves organization, your communication skills are also excellent. You think quickly and act decisively, ensuring that you obtain all the information you need. This is not always easy, but you keep a clear goal in mind.

Profile

  • At least 3 to 5 years of relevant work experience;
  • A team player with strong communication skills who actively shares knowledge;
  • Proactive and engaged in improving work processes and optimization;
  • No-nonsense mentality and integrity;
  • Organizational sensitivity;
  • Fluent in Dutch and English;
  • Excellent knowledge of MS Office (Outlook, Word, PowerPoint, Excel, Teams) and Ibabs;
  • A completed Office Management degree or a comparable qualification.
